We collect information that institutions, staff, parents and learners provide directly when creating accounts, completing admissions forms, or using academic, attendance and communication modules within ALMA ERP.

• Account details — name, role, email, phone number and institution affiliation.
• Academic records entered by staff — attendance, grades, fee status and timetables.
• Usage data — pages visited, features used and device/browser information, collected automatically to improve the platform.
• Support communications — messages sent to our chat, email or phone support channels.

Data collected through ALMA ERP is used solely to operate and improve the platform on behalf of the institutions that deploy it.

• Operating core modules — admissions, attendance, exams, fee collection and communication.
• Sending service notifications such as attendance alerts, fee reminders and exam results.
• Improving the hi5 AI assistant and other features through aggregated, anonymised usage patterns.
• Maintaining the security and integrity of institution accounts.

ALMA ERP is used by schools, preschools and coaching institutes, which means student data — including that of children — passes through the platform. Student accounts and records are created and managed by the institution, not directly by the child.

We rely on the institution to obtain any consent required from parents or guardians before entering a learner's data into ALMA ERP, and we limit student-facing data collection to what is strictly necessary for academic and administrative purposes — no behavioural advertising, ever.

We do not sell personal data. Information is shared only with the limited set of service providers needed to run the platform — for example, payment gateways for fee collection, SMS/email providers for notifications, and cloud infrastructure partners for hosting.

Each third party is bound by confidentiality and data-protection obligations consistent with this policy and applicable law.

ALMA ERP uses essential cookies to keep you signed in and remember preferences such as your pricing toggle or dismissed announcements. We use limited analytics cookies to understand which features are used most, helping us prioritise the roadmap.

You can control cookies through your browser settings; disabling essential cookies may affect login and core functionality.

Data in transit and at rest is encrypted, access to institution data is role-based, and our infrastructure follows ISO 27001-aligned practices. Regular security reviews and automated backups protect against loss or unauthorised access.

• Ask for corrections to inaccurate records via your institution's admin.
• Request deletion of your account data, subject to the institution's record-keeping obligations.
• Unsubscribe from non-essential email communications at any time.

We may update this Privacy Policy as ALMA ERP evolves. Material changes will be announced via the in-app announcement bar or by email to institution administrators, with the "Last updated" date above reflecting the latest revision.
